The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Gift Systems Department, located in the Office of Alumni and Development (OAD), is the central department handling donations for Columbia University. It manages and records the flow of gift income from multiple funding sources and provides receipting and document repository needs. Gift Systems upholds the University's policy of gift acceptance and ensures gifts are distributed and administered per IRS standards and donor intent.

The Gift Coordinator will work with donation submissions, ensuring the system of record accurately reflects the appropriate amounts, the specified uses, and mandated requirements. Reporting to the Assistant Director of Gift Systems, the incumbent will be responsible for all aspects of recording and processing gifts to the University including the reviewing, adding, and editing of demographic and gift information to the Columbia University Alumni and Development System.

Responsibilities

  • Assists in the preparation of the daily bank deposit, which includes opening mail and reviewing accounts and documentation that substantiate gift classification batching and totaling checks logging matching gift receivables screening out non-gift, and nonnegotiable checks processing credit card gifts preparing bank deposit slips and preparing gift.
  • Reviews and interprets demographic information received with gifts to the University adds or edits information to enhance the profile of each donor including their relationship to other donors on the file uses various research tools including Internet websites and other University mainframe systems to obtain accurate demographic information, inputs gift data, and scans gift documentation to the development information system data for computer input.
  • Answers donor and University staff inquiries about gifts via phone and email, or directs them to the appropriate team member.
  • Performs related duties and special projects as assigned.

Minimum Qualifications

  • A high school diploma or its equivalent is required.
  • A minimum of two (2) years of related experience, or the equivalent combination of education and experience, is required.
  • Familiarity with Microsoft Office is required. High level of word processing using Microsoft Word and ability to use Microsoft Excel or similar databases.
  • Must be detail-orientated and have the ability to work independently with changing priorities.
  • Must have the ability to work in a team setting and in a collaborative manner.
  • Excellent communication skills, both written and verbal, are required. Strong reading comprehension and grammatical abilities are essential.
  • Strong interpersonal and organizational skills are required.
  • The availability to work some overtime is required.

Preferred Qualifications

  • Two (2) years of college is highly preferred.
  • Work experience in university development or accounting environment is preferable.
  • The ability to recognize legal documents and properly associate names with proper organizations is preferable.
  • Knowledge of Columbia University's unique matching gift processing procedures is highly desirable.
  • Knowledge of advanced data, query, and report functions, and some knowledge of ARC (Accounting Reporting System at Columbia) is is highly desirable.
