Description

We are seeking a Project Coordinator to work at our client site based in New York, NY! The Project Coordinator serves as the Project Management Office focal point for processing, tracking, and distributing project deliverables; creating reports on project status; verifying the project insurance, bonds, lien releases, and other contractual obligations are fulfilled; and providing support to the Project Manager as needed. Supports the entire Project Team as a force multiplier to ensure excellent communication is maintained between all internal departments as well as with the customer.

Essential Functions:

  • Document Control - Works with Project Team to identify and produce project specific technical and commercial documentation and templates as outlined in the project plans. Responsible for monitoring all parties for compliance to project documentation processing including filing, tracking, and distributing.
  • Action Items - Maintains project action item and open item lists. Tracks open items for completion.
  • Team Meetings - Coordinates weekly project team meeting, keeping, and distributing minutes.
  • Logs - Responsible for maintaining all project log files to ensure accuracy of the document status. Typical project logs files are Submittals, RFIs, Change Orders, Site directives, Risk and Opportunity registers, Document Lists and Logs.
  • Coordinates with all departments to assist the Project Manager with project execution.
  • Coordinates with the project team members to ensure that the contents of submittals meet contractual requirements.
  • Produces and updates weekly and monthly project reports, both internal and external.
  • Secondary point of contact for all departments in the absence of the Project Manager.
  • Direct line of communication between all departments supporting project execution.
  • Works with Project Scheduler to gather schedule updates from the project team on a weekly basis. Verifies compliance with schedule milestones and due dates, sending reminders and communicating any potential delays ahead of time.
  • Other support as required including, but not limited to:
    • Site Badging Administration and Returns
    • Continuous Improvement project support
    • Payment Application status verification
    • Site logistical support
    • Purchase Order Request support
    • Other forms and processes
    • Supply Chain expediting support
Qualifications

Needed Skills:

  • Basic understanding of project procurement, scheduling, and documentation requirements.
  • Proficient in MS Office.
  • Ability to work well with diverse team of internal disciplines.
  • Outstanding attention to detail.
  • Ability to quickly learn and adapt to the company's culture and Way of Working.

Education/Experience Minimum:

  • Bachelor's degree in architecture, Engineering, Construction technology or related field.
  • A minimum of 3-years of related project coordination or construction experience.
  • Procore Certification a Plus.
  • Smartsheet Certification a Plus.
  • Preferred experience: airport terminal buildings, airport terminal facilities and systems at a medium and/or large air carrier airport.
