About the role

The Manager, Development Systems and Operations, manages our Development database and all related business processes. Working in partnership with our Technology department and leaders throughout the Museum, the manager will play a key role in project managing the utilization of Tessitura and other CRM systems across the Development department. In addition, they are responsible for developing strategies to maximize our software capabilities with an emphasis on efficiency, proactively supporting the fundraising team while managing data conversion strategies, and crafting best practices for donor information management.

Responsibilities
  • In partnership with the Director of Development Operations, lead the team's use and adherence to Tessitura database systems and procedures
  • Create and maintain workflows for the Development Operations team by leading the development of custom reports, dashboards, and overall dataflow management in the CRM
  • Manage the work of the data entry staff to ensure that information flows quickly and accurately, from hard copy to the Development database to data analysis and reporting
  • Design and implement CRM training and security procedures for all Development systems
  • Liaise with Development officers and Marketing staff on list management as it pertains to pulling lists of donors for communications
  • Ensure the database is clean, up-to-date, and consistent, with continuity among all platforms and users
  • Create data imports, exports, lists, and global changes as required for fundraising departments
  • Establish and maintain a system for end users to request reports, and work proactively to develop reports that meet the evolving needs of the fundraising team
  • Work with Finance to develop accurate reconciliation procedures and create required reports in a timely fashion, including monthly cash and pledge receivable reconciliation reports.
  • Develop and maintain a policy and procedures guide for our development database operations, including documentation of data entry, standard reports, queries, exports, etc.
  • Work with the Finance and Technology departments to ensure all business processes comply with established procedures, and that organization-wide database activities are efficient and well-coordinated
  • Ensure full compliance with IRS and New York State charitable giving regulations, credit card processing mandates, and Museum internal policies
  • Oversee contacts with matching gift and/or charitable giving organizations by updating compliance and donor information
  • Take the lead on managing our monthly general Member auto-renewals in conjunction with the Membership team
Qualifications
  • Bachelor's degree or equivalent experience
  • At least three years of experience in systems management, database management, and/or operations
  • Superior project management skills and attention to detail
  • Strong computer literacy and technology skills, including administrator-level expertise in relational database software (experience with Tessitura preferred)
  • Excellent verbal and written communication skills
  • Aptitude for creating and maintaining systems, facility working with numbers, and strong overall data reporting and analysis abilities

Schedule: 35 hours per week, Monday-Friday, 9 am-5 pm
